One secure portal where founders apply, evaluators score pitches, mentors guide startups and administrators manage the incubation lifecycle from first idea to funding and graduation.
The innovation and entrepreneurship centre of a large multi-campus private university supports startups from dozens of institutes, covering engineering, medicine, pharmacy, design, management, agriculture and more. It runs early-stage incubation, a growth accelerator, need-based technical and legal support, and an investor-connect track at the same time.
We designed and built a secure, cloud-based Incubation Management System (IMS) that replaced spreadsheets, email threads and paper forms with one portal for founders, mentors, evaluators, administrators and leadership.
Our role: product strategy, UX/UI design, full-stack web development, cloud and security, and workflow automation.
The centre needed one place where every stakeholder could work together, and where every decision left a clear, auditable record.
Applications arrived through forms, email attachments and walk-ins, with documents spread across inboxes and drives.
Applicants didn't know where their application stood, so they kept following up by phone and email.
Jury members scored on paper or separate sheets, which made fair comparison and later audits hard.
Pitch sessions, mentor meetings, event announcements and monthly reports took a lot of staff time.
Leadership and government schemes needed accurate numbers that took days to compile.
Discovery workshops with programme managers, evaluators and founders mapped the real journey of a startup into a clear, state-driven workflow. Three principles guided the build:
A student founder, a jury member and a programme director need very different screens, so each role gets a focused dashboard.
Every change to an application is timestamped, shown to the founder in real time and backed by a notification.
Founders upload identity documents, bank details and confidential plans, so access control was built in from the start.
Nine connected capabilities that cover the full incubation lifecycle.
Structured founder profiles and multi-step programme applications, with the centre's own templates built in.
Submitted → Under Review → Phase 1 & 2 Evaluation → Funding Committee → Funding Approved → Incubated.
Applications can be sent back for changes, and the portal records exactly which fields the founder changed.
Criteria-based scoring with a split-screen pitch-deck viewer, stored with evaluator identity and timestamp.
Server-side route protection, plus database and storage security rules for every role.
Hardened HTTP security headers and session-based authentication.
Every score is stored with the evaluator's identity and a timestamp.
Founders check status and evaluators review decks from a phone.
The centre now runs its entire incubation activity from one secure system.
We turn complex, people-heavy processes into simple, secure digital platforms. If your team manages applications, evaluations or programmes through spreadsheets and email, we'd like to help.
